Conference Registration help

Before the registration at a conference you must check your personal data (top-right menu on the page, active after signing in the site)! To designate person you in the conference Programme and Proceedings your personal data will be used. All actual information and notifications from the Organizing Committee will be sent on your personal contact email address, which must be specified in your personal website registration form.

The conference registration consists of two steps:
(1) submission of the Conference Application form;
(2) submission of the Abstract Submission form and upload of the abstract file (you can submit several abstracts filling the form for each). Please note that it is not obligatory to upload the abstract file when you first fill out the abstract submission form.

The conference registration procedure is described in details in the section Conference Help. Below you will find some help contents and examples. Asterisk (*) designates obligatory fields. If you need help while filling distinct fields, please click on the question sign  left from the title of corresponding field group. After filling the Conference Application form you must click the link Send the data to the Organizing Committee at the bottom pf the page to transmit you data to the Organizing Committee.

Conference Application form

The form is different for resident and non-resident participants. Please be careful and at the begin of registration correctly indicate you position: will you arrive to the conference place from a different city or not. Depending on the conference program some fields described below can be absent in the form. After the start of conference registration period some new fields can be added to the Conference Application form. You must carefully read all notifications from the Organizing Committee and fill and/or edit the corresponding fields of the Conference Application form (every time you must click the link Send the data to the Organizing Committee at the bottom of the page).

Field group "Conference registration".
Participation Please select the planned type of participation: regular or extramural (abstract submission only).
Field group "Foreign and non-resident participants".  (these fields are active if you have indicated by online registration, that you will arrive from another city)
Probability of Arrival Please indicate the possibility of your arrival (selection field). The selection can affect the decision of the Organizing Committee to provide your oral or poster presentation type.
I NEED an official invitation

Please select this field if you need the official invitation from the Organizing Committee.

Date of arrival Please indicate your arrival date (dd/mm/yyyy).
Example: 20/05/2006
Place of Arrival (Airport, Train) You can specify the exact place of arrival (airport, train station etc.) if it is necessary to organize a special transportation to the conference place (see the corresponding conference circulars and information letters for details).
Date of departure Please indicate your departure date (dd/mm/yyyy).
Example: 21/05/2006
Additional Information (I need invitation for Visa etc.) Please indicate any additional help you need obtain from the Organizing Committee to attend the conference (Visa support, special invitation etc.).
Grant Application Select this field if you need a travel grant support. You will be notified about the decision of the Organizing Committee.

Here you can specify any important information concerning your grant application.

Field group "Programme".
Banquet Indicate if you wish to participate at the conference banquet.  Possible social events, excursions, open discussions and other activities are designated in the conference circulars and information letters from the Organizing Committee.
Excursions Please select the excursions you wish participate. Possible social events, excursions, open discussions and other activities are designated in the conference circulars and information letters from the Organizing Committee.
Open Discussions Please select the Open Discussions you wish participate. Possible social events, excursions, open discussions and other activities are designated in the conference circulars and information letters from the Organizing Committee.
Field group "Payment".
Registration Category Please select your registration (payment) category.  Possible registration fees and payment categories are designated in the conference circulars and information letters from the Organizing Committee.
Payment Method Please select the payment method. Possible payment methods are designated in the conference circulars and information letters from the Organizing Committee.
Date of payment, comments If you have performed the payment soon, please input the date of payment. You can give also any comments if necessary.
Field group "Accommodation".   (these fields are active if you have indicated by online registration, that you will arrive from another city)
Hotel Please indicate if you need a hotel accommodation provided by the Organizing Committee. In case of a list of hotels, select the corresponding hotel. Accommodation possibilities, booking forms are designated in the conference circulars and information letters from the Organizing Committee. You will be notified from the Organizing Committee about the possible accommodation.
Check in and Check out days Please indicate the check in and check out days.
Comment Please indicate (if necessary) any additional accommodation information.
Example:  single apartment 
Field group "Accompanying Person(s)".
Number of Accompanying Persons Please indicate the number of accompanying persons if they need to participate the conference and/or accommodation provided by the Organizing Committee.

Please indicate Title, Names for each accompanying person. Provide also the information about necessary accommodation, participation at a welcome party etc.

Field group "Visa Support: Obligatory for non-Russian citizens".
Passport validity, from Date.
Passport validity, till Date.
Date of birth Date.
Dates of stay: arrival date Date.
Dates of stay: departure date Date.
Scanned passport pages with photo and principal information As a single file (archive, document, picture).

After filling the Conference Application form you must click in the link Send the data to the Organizing Committee. Further you can modify your Conference Application form until the starting day of the conference. For this purpose use the menu section My conferences and abstracts in your personal menu (top-right side of the page, active after signing in the site).

After filling the Conference Application form and clicking the link Send the data to the Organizing Committee, the system will propose you to fill the Abstract Submission form.

Fields marked by green color will be showed only by editing of the registration form (please use your personal menu section My conferences and abstracts, it is active after signing in the site). Status fields are used to inform you about the status of the submitted abstract.

Field group "Presentation at a conference".
Added Status field: date and time of the form first submission.
Session

Please select the corresponding scientific session of the conference.

*Title Please indicate the abstract title (it must be consistent with the title of the abstract file).
*Author listing Please indicate authors as it is made in the abstract head.
Example: J. Stone, M.I. Neral
*Principal author Please indicate full names of the principal author. This information will be provided for the scientific session conveners.
Example: John Stone.
Language

Select the language of your presentation. This field can be necessary for the Organizing Committee if the synchronous translation will be provided.

Type of presentation Please indicate the preferable type of presentation: oral, poster or without presentation. 
ATTENTION!  This field can be changed by the Organizing Committee.
Special presentation Please indicate if you need special techniques for your presentation (for example, software demonstration etc.).
Field group "Abstract of presentation".
*Abstract Summary
(short description)
Please specify a short description of the presentation contents (50-100 words). This summary will be showed on the webpage of your presentation after the conference program will be published.
Edited Status field: date and time of the abstract file upload.
Abstract Status field: current status of the abstract file (you can submit the abstract (file upload)/received).
Upload file with abstract Use this field to upload your abstract file. Click the button  Choose...   to select the file. After that you must click the link Send the data to the Organizing Committee at the bottom of the page.
ATTENTION! It is not obligatory to upload the file at the time of the first registration of your presentation. You can upload and replace the abstract file at any time before the abstract submission deadline announced by the Organizing Committee.
Attention! Filename must contain only plain Latin and/or numerical characters (not more than 8 characters. Filename must NOT include spaces, punctuation symbols and special characters (e.g., diacritics etc.).
view file with abstract Use this link to view submitted abstract file. You can use this field to check that the file is successfully  obtained by the Organizing Committee.
delete or replace file with abstract Use this field, if you wish to replace the abstract file you have submitted formerly. After that select the new version of your abstract using the field Upload file with abstract  and click the link  Send the data to the Organizing Committee.

After filling the Conference Application form you must click in the link Send the data to the Organizing Committee.  Further you can modify your Abstract Submission form and upload/replace the abstract file until the abstract submission deadline announced by the Organizing Committee. For this purpose use the menu section My conferences and abstracts in your personal menu (top-right side of the page, active after signing in the site). After the abstract submission deadline you will not be able to change the abstract submission form and submit/replace the abstract file.

If you wish not to submit the announced abstract you can use the link Remove the application and delete all data. Please note that after this procedure all abstract data will be deleted without possibility of recovery! If you wish only to edit your abstract submission form or replace the abstract file you must use the form and then click the link Send the data to the Organizing Committee but not use the link Remove the application and delete all data....
